How to set up product modifiers

Product modifiers in Final POS let you define options like toppings or add-ons once in the Merchant Hub, attach them to product categories, and have them appear automatically at the till with pricing, tax, and receipt support. Go to Products → Modifiers to create your first modifier.

What are product modifiers?

Product modifiers let you ask customers a question at the till — "Which dressing?", "How many scoops?", "Any add-ons?" — and charge for the answer automatically. You define each modifier once in the Merchant Hub, attach it to the categories where it applies, and every product in those categories inherits it.

Modifiers are available to all merchants. Restaurants and cafes will find them especially useful for toppings, milk options, and add-ons, but any business selling products with options can use them.

Before you start

You need the Modifiers permission on your role. If you don't see Products → Modifiers in the Merchant Hub, ask your account owner to grant it.

Step 1 — Create a modifier

  1. In the Merchant Hub, go to Products → Modifiers.

  2. Click New modifier.

  3. Give the modifier a name — for example, Dressing or Toppings. Names must be unique; if the name already exists, the Merchant Hub will point you to the existing modifier.

  4. Choose the answer type:

  • Pick One — the customer selects exactly one choice (radio buttons at the till).

  • Pick Many — the customer can select several choices (checkboxes at the till).

  • Quantity — the customer sets a quantity for each choice (steppers at the till).

  1. Add your choices. For each choice:

  • Enter a name (for example, Ranch, Avocado, Oat milk).

  • Set a price. Use $0.00 for choices that carry no extra charge — they still print on the receipt and kitchen ticket.

  • Optionally mark a choice as the default (pre-selected at the till). Staff can always change a default; it is never locked in. Pick One modifiers can have at most one default.

  1. Drag choices into the order you want using the grip handle, or reorder them with the keyboard.

  2. Click Save.

Step 2 — Attach the modifier to categories

A modifier only appears at the till when it is attached to at least one category.

  1. Open the modifier and go to the Categories tab, or open a category under Products → Categories and go to its Modifiers tab. Both routes write to the same record.

  2. Select the categories where this modifier applies.

  3. For each attachment, set:

  • Required — whether staff must answer this modifier before completing the line.

  • Min — the minimum number of selections (or units, for Quantity modifiers).

  • Max — the maximum number of selections.

  • Display order — where this modifier appears in the picker relative to others on the same category.

  1. Click Save.

Tip: Attaching a modifier to a parent category automatically makes it available to all subcategories. Subcategories show inherited modifiers read-only, labelled with the category they come from. You can attach the same modifier directly to a subcategory to override the inherited settings for that subcategory only.

Step 3 — Configure per-outlet availability

By default, every choice is available at every Outlet. To mark a choice unavailable at a specific location:

  1. Open the modifier and select a choice.

  2. Under Outlet availability, toggle off the Outlets where the choice is not sold.

  3. Save.

If a required modifier ends up with no sellable choices at an Outlet, the Merchant Hub shows a warning: Required, but nothing is sold at [outlet name]. The till will block these sales there. Make a choice available, or turn Required off.

Fix this before your next session at that Outlet to avoid blocked sales.

How modifiers work at the till

When a staff member adds a product to the cart, the modifier picker opens automatically and shows each modifier under its own name.

  • Required modifiers must be answered before the line can be added.

  • Min and max rules are enforced as the operator makes selections. If a rule is violated, the till shows the reason and blocks the line until it is resolved.

  • Default choices are pre-selected but can always be changed.

  • Unavailable choices at the current Outlet are never shown or pre-selected.

Modifier surcharges are charged per unit of the line item — if a customer orders three sandwiches with avocado at $1.00 extra, the charge is $3.00, calculated automatically.

If your store displays tax-inclusive prices, modifier surcharges display tax-inclusive at the till, matching how product prices are shown.

Receipts and kitchen tickets

Every selected choice prints on the customer receipt and the kitchen ticket by name and amount — including $0.00 choices like No pickles. There is no option to suppress modifier printing; modifiers always appear.

Modifiers in reports

Modifier upcharges are tracked separately from other fees so your existing report figures stay accurate.

  • End of Session report — a Net Modifiers line in the Sales Summary, and a Modifiers Breakdown section with gross sold, refunded, and net figures.

  • Sales Breakdown — a Modifiers column in the orders table, separate from the Fees column.

  • Refunds Breakdown — refunded modifier upcharges appear on their own line.

  • Station Session Report and Z-report — mirror the same Modifiers figures to the cent.

Tips and common questions

Can I attach one modifier to multiple categories? Yes. One modifier record can be attached to as many categories as you need. Changing the modifier's choices or name updates it everywhere at once.

What if a product belongs to two categories that both have the same modifier? The modifier appears exactly once at the till — duplicates are removed automatically.

Can I set different min/max rules per category? Yes. The Required, min, max, and display order settings are per attachment, so Dressing can be required on Bowls and optional on Sandwiches.

Can staff skip a default choice? Always. Defaults are pre-selected for convenience, never locked. Staff can change or clear them.

What happens if I delete a choice that is set as a default? The default is cleared automatically. No configuration is left in a contradictory state.

Can I reorder modifiers within a category without affecting other categories? Yes. Display order is set per attachment, so reordering a modifier within one category does not change its position in any other category.
