Purchase Orders Are Here: Order Stock, Track Shipments, and Update Inventory Automatically

Purchase orders in Final Manage let you create supplier records, raise POs with line items and costs, and receive stock in full or across multiple shipments. Each receipt automatically updates inventory at the correct Outlet and records a FIFO cost layer — no manual adjustments needed.

Purchase orders in Final Manage

Until now, ordering stock meant leaving Final entirely — spreadsheets, supplier emails, phone calls — and then manually adjusting inventory when a delivery arrived. That gap is closed. Purchase orders are now built into Final Manage, giving you a single place to order stock, track what's coming, and keep inventory accurate without a single manual adjustment.

What's new

Supplier records

You can now create and manage supplier records directly in the back office. Each supplier is a first-class record — name, contact details, and any default settings — and becomes selectable whenever you create a purchase order. Your full supplier directory lives in one place.

Purchase orders with line items and costs

Create a purchase order by selecting a supplier, choosing the ship-to Outlet, and adding line items with ordered quantities and unit cost prices. Every PO gets a unique, sequential identifier (like PO-0001) automatically — no manual numbering needed, and no two orders share the same reference.

A clear status lifecycle

Every purchase order moves through a defined set of statuses so you always know where an order stands:

  • Draft — being built, not yet sent

  • Sent — dispatched to the supplier

  • Partially Received — some line items have arrived

  • Fully Received — all ordered quantities have been received

Status updates automatically as you receive stock — you don't set it manually.

Receiving stock — full or partial

When a delivery arrives, open the PO and enter the received quantities per line item. You don't have to receive everything at once: partial receiving is fully supported, so a PO can be fulfilled across multiple shipments. Each receipt:

  • Immediately increments the inventory balance at the ship-to Outlet for each received variant

  • Records a FIFO cost layer for that variant and Outlet using the PO line unit cost — keeping your cost of goods accurate as prices change over time

Send to supplier or export as PDF

From any PO detail view, you can email the purchase order directly to the supplier or export it as a formatted PDF — so your supplier gets a clean, professional order document without you copying anything into a separate tool.

How to get started

  1. Go to Manage → Suppliers and create your first supplier record.

  2. Navigate to Manage → Purchase Orders and select New PO.

  3. Choose a supplier, select the ship-to Outlet, and add your line items with quantities and cost prices.

  4. Save as Draft, then mark it Sent when you're ready to dispatch it (or email/export the PDF directly from the PO).

  5. When stock arrives, open the PO and click Receive Stock — enter the quantities received per line item and confirm. Inventory updates immediately.

What's not included yet

Phase 1 covers the core ordering and receiving workflow. Purchase order reporting, spend analytics, and supplier performance dashboards are coming in a future update. Automated invoice matching and accounts payable workflows are also not part of this release.

A note on multi-outlet merchants

Each purchase order is tied to a single supplier and a single ship-to Outlet. If you order from the same supplier for multiple locations, create one PO per Outlet — inventory updates are scoped to the Outlet on the PO, so stock stays accurate per location.
